Moreover, we've cultivated a global community of fans who are enthusiastic about social change and ready to lead the way. The HPA is a fully virtual company with a team made up of six full-time and one part-time staff members and over 40 volunteers who work daily to make our mission a reality within our $500,000 budget.
We are looking for an Operations and Finance Director to play a critical role in developing the HPA's financial policy and direction while also being an active participant in the HPA's overall strategy. Reporting to the Executive Director, the Operations and Finance Director is responsible for overseeing the HPA's operations, finance, and accounting activities. They will do this by taking a broad perspective on the projects and administrative tasks that are coordinated on a day-to-day basis and work directly with members of senior staff to ensure that there are policies and procedures in place to maintain each of these. This will include overseeing the work of some volunteers and working directly with other members of senior staff to direct and guide the organization. In sum: the Operations and Finance Director should channel the spirit of Ben Wyatt on a daily basis.

OPERATIONAL MANAGEMENT (55%)
*Manage projects that have an operational scope and focus, including setting work plans, coordinating team member tasks within the project lifecycle, tracking follow-up, and delivering the project on time and on budget.
*Plan and execute meetings for senior staff, including taking and delivering notes, and keeping track of deliverables and progress on objectives.
*Coordinate, with the help of volunteers and senior staff, the logistical and organizational presence of the HPA at IRL events and conferences like LeakyCon, VidCon, the Granger Leadership Academy, and the Quidditch World Cup.
*Oversee HPA's merchandise line and project sales for purposes of inventory and ordering
Review, recommend, and implement improvements for organization-wide workflow, processes, and procedures.
*Organize monthly all-staff Cones of Dunshire tournament.
*Review and renew insurance policies (liability, Directors and Officers, etc.).
FINANCIAL MANAGEMENT (30%)
*Develop the annual operating budget and long-term financial strategy with the Executive Director and board of directors. (Code Name: Operation Gringotts)
*Prepare financial projections, internal reports, reconciliations, statements, and presentations.
*Oversee all accounts, ledgers, and reporting systems, ensuring compliance with Generally Accepted Accounting Principles.
*Assess organizational performance against both the annual budget and the HPA's long-term strategy.
*Develop tools and systems to provide critical financial information and key metrics to the Executive Director, senior staff, and board of directors.
*Review all internal control processes and finance procedures, recommending enhancements to the systems in place and managing the systems going forward.
*Work with Executive Director, board, and external accountant on annual reports and 990 filing.
*Monitor invoices and review payments for vendors and suppliers as well as for internal expenses.
*Ensure regulatory compliance regarding all financial functions.
*Attend board meetings as requested.
*Help other Senior Staffers with basic mathematical calculations.
HUMAN RESOURCES (10%)
*Oversee employee benefit plans, including health, disability, 401(k), and paid time off.
*Supervise preparation of semi-weekly payroll.
*Ensure the periodic review of salary ranges for all positions and make range recommendations to the board for salary and benefit package changes that are financially sustainable and competitive.
*Work with Executive Director and other senior staff to identify staffing needs.
*Assist Executive Director in creating job descriptions, posting jobs, reviewing resumes, proper documentation, and all facets of the hiring process for employees.
*Assist senior staff in creating role descriptions for volunteers, posting them to the website, and managing volunteer onboarding and documentation.
GRANT ACCOUNTABILITY AND MANAGEMENT (5%)
*Oversee all financial, programs, and grants accounting.
*Ensure that expenditures are consistently aligned with grant and program budgets throughout the grant period.
*Collate financial reporting materials for government, corporate, and foundation grants in a timely manager.
*Collaborate with development team on the development of grant, program, and contract budgets.
*Four-year degree with background in accounting, business, or finance preferred.
*A minimum of three years of related work experience.
*Demonstrated experience successfully managing finance, accounting, budgeting, control, and reporting.
*Strong analytical skills and experience interpreting a strategic vision into an operation model.
*Spreadsheet expertise and proficiency with other productivity tools.
*Familiarity with automated financial and accounting systems; experience with Quickbooks preferred.
*Project management skills, including planning, budgeting, and the ability to balance multiple tasks while delivering quality work on schedule.
*A record of accuracy, efficiency, discretion, and integrity.
*Demonstrated ability to work independently and manage multiple priorities.
*Excellent organizational and communications skills.
*Strong interpersonal skills with leadership potential.

*Experience with employee benefit plans, including health, retirement and disability.
*Knowledge of not-for-profit accounting and budgets strongly preferred.
*Experience with project management and project management software
*Good interpersonal skills, sense of humor, and an interest in working with artists and weirdos
*Experience in fandom or a willingness to learn. Unapologetic geeking out over literature, film, and popular culture is a major plus.
*A strong understanding of and commitment to social justice issues and an interest in nonprofit work, activism, and social movements.
